Grant Specialist: This is a full time position located at ACTS Administration offices in Tampa, Florida.
Characteristics of Position:
The Grant Specialist is a professional position responsible for assisting in the development of proposals and applications for funding, reviewing accountability requirements of grants awarded, and providing training and technical assistance to administrative and affected program personnel related to grant requirements. The position is also responsible for assisting in the design and implementation of quality improvement systems for monitoring performance and ensuring grant compliance. This is a full time position located at ACTS Administration offices in Tampa, Florida.

Bachelor's degree in marketing, communications, English, journalism or related field and three years of related experience.
Experience developing grants or contracts including identifying goals and timetables and determining program needs and funding; monitoring and evaluating grant or contract activities and expenditures' interpreting laws, regulations and policies and advising on their requirements; evaluating statistical and financial information and developing reports of findings.
Experience evaluating bids or responses to Requests for Proposals or Invitation for Bids for contract services or strong knowledge of techniques used in negotiating contract terms and ‘best and final offers’.
Understand and apply obligations of contracts through an accountable tracking system of activities and briefing meetings.
Excellent verbal and written communications skills, timely response and feedback.

Scope of Responsibilities: Responsibilities for preparing and/or reviewing grant applications or contracts for compliance with state and federal requirements and feasibility and legality of program design and cost-effectiveness. Provides technical assistance in program design, program performance, grant or contract development and negotiation, corrective actions for compliance and development of proposals, operating plans and procedures.
Supervision: Work is performed under the direction of the Chief Operating Officer. This position does not provide supervision to others.
Core Responsibilities/Essential Functions:
The Grant Writer is responsible for the full range of activities required to prepare, submit, and manage grant proposals; this includes the tracking and monitoring of assigned proposals and for researching new funding opportunities, with emphasis on deadlines, program and financial requirements, and required written reports. In conjunction with these duties the Grant Writer assists with monitoring of program outcomes, particularly as they relate to objectives described in awarded funding. In addition, the Grant Writer provides support, as needed, for composition and editing of the agency's internal and external written materials.
The Grant Writer's key areas of responsibility include (1) Private and public funding research; (2) Proposal and fundraising document preparation; (3) Private and public proposal administration; (4) Grant report preparation; and (5) Special projects.
Private and Public Funding Research
Identifies funding needs in collaboration with Chief Operating Officer with input from agency subject matter experts, as needed
Researches and identifies potential local, state, and federal grant opportunities matching agency mission, needs, goals, and strategic planning objectives; researches and identifies foundations and corporations for the same
Researches trends in homelessness (esp. Housing First Model), housing services, and social services
Develops and maintains a private and public funding opportunities calendar for each year based on research and past funding history; ensures deadlines for renewals and reports are reflected
Proposal and Fundraising Document Preparation
Coordinates the grant proposal development process with program, executive, and finance staff
Works with Chief Operating Officer to develop programmatic objectives for funding proposals
Prepares and maintains accurate and current boilerplate content to leverage for proposals
Writes, edits, and submits grant proposals and reports for private foundations and corporations, as well as public entities by specified deadlines in support of existing and planned program initiatives/activities and with respect to both unrestricted operating revenues and restricted projects
Assists in generating required financial information, including budgets and financial reports for
Private and Public Proposal Administration
Monitors results of written requests, such as funding award rate
Coordinates the efforts of the Chief Operating Officer to ensure that documents are completed by the specified deadlines
Maintains accurate electronic and hard copy records of prospective and current private and public funders, including but not limited to: correspondence, proposals, reports and notes on significant phone conversations or site visits
Grant Report Preparation
Gathers and analyzes program results and progress toward specific identified objectives in awarded grants
Collects quantitative, qualitative, and anecdotal information on outcomes, program activities, client success stories and other relevant information for use in grant reports
Represents ACTS at pre-proposal workshops (as directed by funders) and at relevant community meetings
Interfaces with staff, board members, and grant funders and prospects in person and on the phone
Adheres to policies and procedures of the organization
